Freelance Project Start Date Confirmation Email: Lock the Schedule Before Work Begins

A start-date confirmation email turns an informal “let’s do it” into a shared project commitment. Send it after the client has approved the scope and before you reserve meaningful production time. It should make the start condition, client responsibilities, and first milestone easy to verify.

This is different from a welcome packet: the message confirms one immediate scheduling decision, while the packet explains the broader working relationship.

Confirm the Conditions That Actually Start Work

Do not state a start date as final if you still need a signed agreement, deposit, access, or source materials. Name the condition plainly:

  • Agreement signed by [date]
  • Initial payment received by [date]
  • Required access or assets delivered by [date]
  • Client point of contact confirmed

That clarity protects the calendar and gives the client a simple checklist rather than a vague sense that the project is underway.

Include the First Meaningful Milestone

The first milestone should be observable: kickoff call, discovery workshop, outline, design direction, or draft delivery. Do not promise the final delivery date in this email unless the dependencies are already locked.

Show how late client inputs affect the plan without threatening or blaming. A short note such as “If materials arrive after Thursday, the review date moves by the same number of business days” is easier to use than a long policy paragraph.

Keep the Email Short Enough to Reply To

Use headings or bullets so the client can scan the decision. The goal is a reply that confirms the start, supplies missing information, or asks a specific question.

Avoid re-selling the project. Scope and pricing belong in the proposal; this message is operational.

Here is the immediate plan:

  • Schedule note: If the required inputs arrive later, we will shift the next milestone to keep the working time intact.
