Freelance Client Asset Request Email: Get What You Need Without Stalling the Project
Projects do not usually stall because a client refuses to help. They stall because the request is scattered across messages, the owner is unclear, or “send the assets when you can” has no useful deadline.
A good asset request turns a vague dependency into a simple task list the client can forward internally.
Ask for Assets Before You Need Them
Review the scope and timeline when the project begins. Identify every item that can block your next milestone: logos, copy, logins, brand files, product details, approvals, analytics access, or source materials.
Request items in batches tied to a milestone. Asking for every possible file on day one can overwhelm a client; asking the day before you need something can put the schedule at risk.
Make Each Request Actionable
For every item, include four details:
- What: the specific asset or access needed
- Format: file type, folder, login invitation, or source link
- Owner: the person who can provide or approve it
- Due date: the latest date that keeps the milestone on schedule
If there is a preferred upload location, include one link. Do not make the client choose between email attachments, chat uploads, and several folders.

Follow Up Without Creating Confusion
When a deadline passes, reply in the same thread with the outstanding items and the schedule impact. Do not send a new vague “checking in” message.
For example: “The logo files and approved product copy are still outstanding. If they arrive by Thursday, I can keep the Tuesday review. After Thursday, the review moves to the next available production window.”
That gives the client a real decision and keeps the timing tied to the shared plan rather than a personal reminder.
