Freelance Project Handoff Checklist: Deliver Work Without Loose Ends

Finishing the work is not the same as finishing the project.

The handoff is where you make the client feel supported, prove the process was organized, and close every loose end before the next request turns into unpaid support.

Use this freelance project handoff checklist to deliver cleanly and protect the end of the engagement.

What a Strong Handoff Does

A strong handoff makes three things obvious:

  • what the client is receiving
  • where everything lives
  • what happens after delivery

That third point is the one freelancers often skip. Without it, clients assume access, edits, support, and questions are open forever.

Your handoff should be an operational close, not a hurried link-drop in an email.

Freelance Project Handoff Checklist

Run this list before you send the final delivery email:

1. Confirm the final payment condition

If your agreement requires final payment before delivery, confirm it is complete before you release the final package. Do not make the handoff email a substitute for a final invoice.

2. Package final deliverables clearly

Use folder names a client can understand without you. Include final files, source files if they are part of the scope, and a short README for anything that needs context.

3. Transfer access deliberately

Move ownership of accounts, shared drives, design files, domains, or tools only if the scope requires it. Record what was transferred and who now owns it.

4. Include key instructions

Tell the client how to use the deliverable, where to find it, and any next action they need to take. This can be a short document, a walkthrough video, or a focused email section.

5. State the support window

If you offer a post-delivery support period, name it. For example: “I will answer implementation questions related to this scope through [date].”

6. Close open project access

Remove yourself from tools, revoke shared credentials, and archive internal project files as appropriate. Leaving unnecessary access behind creates security and support risk.

7. Ask for the next right action

Depending on the relationship, this might be a testimonial, referral, retainer conversation, or simply confirmation that they received the delivery.

I have also [transferred access / included implementation notes / listed the next steps] so your team has what it needs to move forward.

I will remain available for questions related to this delivery through [date]. After that, any new requests can be scoped as a separate project.

The strongest sentence is the support boundary. It is friendly, specific, and stops an old project from quietly becoming an indefinite support channel.

Do Not Turn Handoff Into a New Scope

Clients may ask for help once they see the final work in context. Some questions are normal. Some are new work.

Use a simple filter: if the request changes the agreed deliverable, needs new analysis, or creates a new outcome, it deserves a new scope. A project that is “almost done” is still subject to the same boundaries as the project that just started.
