Freelance Decision Deadline Email: Close a Proposal Without Inventing Urgency
A decision deadline email gives a prospective client a practical reason to choose, pause, or ask a question. It is not a countdown tactic. Use it when a proposal has a real scheduling dependency: your available start window, a launch date, a vendor handoff, or a budget deadline the client already shared.
If there is no real deadline, do not invent one. Send a helpful follow-up instead.
Set a Deadline You Can Stand Behind
State what changes after the date. For example, you may need approval by Friday to hold a Monday kickoff, or a decision by the end of the month to meet a scheduled launch. Be specific about the consequence without making an unprovable promise about scarcity.
Good: “To begin in the August 12 working window, I need the signed agreement and deposit by August 5.”
Less useful: “This offer expires tonight.”
Make the Reply Easy
Give the client three clear response paths:
- Approve the proposal and begin the next step
- Ask one focused question before deciding
- Pause the project and reconnect at a later date
This protects the relationship while keeping the conversation from stalling in an endless “checking internally” loop.
Restate the Decision, Not the Whole Proposal
Your email should be short. Reference the proposal, summarize the chosen outcome, and confirm the action you need. Do not resend every deliverable or reopen the price negotiation unless the client asks.
If the client needs a smaller phase, offer to revise the scope rather than discounting the same work by default.

If you are ready to move forward, reply with approval and I’ll send [agreement/deposit link/kickoff details]. If you have a question or need to adjust the priorities, reply with the specific item and I’ll recommend the cleanest next step.
If the timing has changed, that is useful to know too. We can revisit the scope when a new start window is realistic.
