Freelance Client Meeting Agenda Template: End Every Call With a Clear Decision

Client meetings become expensive when they are used as a place to “catch up.” A short agenda keeps the conversation focused on decisions, protects billable time, and gives everyone a written record of what changes next.

Use this template for kickoff, weekly progress, review, or decision calls. Adjust the middle section to match the stage of the project.

Send the Agenda Before the Call

Share the agenda at least one business day before the meeting when possible. Ask the client to add questions or invite the person who can make each decision.

The goal is not to fill every minute. It is to make sure the right people arrive prepared to choose a direction.

Keep Feedback Separate From Decisions

When a client has multiple comments, capture them first and group them into one decision. For example, “make it feel more premium” is feedback; choosing between a minimalist direction and a more editorial direction is a decision.

Repeat the decision in plain language before moving on. If the client needs internal approval, record who owns it and when they will respond. Unassigned next steps are not next steps.

Send a Short Recap Afterward

Within the same day, email a summary with the decisions, open questions, owners, and dates. This prevents a later “I thought we agreed” moment and gives the project a reliable paper trail.

Use this closing line: “Reply in this thread if I missed anything; otherwise I will proceed with the actions and dates listed above.”
